Förmedling av kursresultat

Det är av högsta vikt att vi ser över våra rutiner hur vi förmedlar kursresultat till studenterna. Det är varje kursansvarig lärares ansvar att riktlinjerna nedan följs. TLTH och studieråden har fått i uppgift att återrapportera till LGGU om vi gör regelbrott. 

Notera att inga resultatlistor i någon form (dugga, extra poäng etc) får delas i gruppform, dvs inte ens på ett slutet forum som Canvas.

Behöver du publicera en resultatlista på gruppnivå? Om JA - enda alternativet att publicera resultatlistan på gruppnivå är om den innehåller anonymkoder. Maskerade personnummer är inte tillåtet.

Hur kan du bäst kommunicera resultat till var och en? En-till-en-kommunikation är det enda som är tillåtet (Canvas/mail/Ladok). Det finns flera olika sätt att göra detta på, se exempel nedan.

Om inget av alternativen ovan fungerar för din kurs och du behöver hjälp eller tips på hur du förmedlar resultat på rätt vis  – prata med kollegor eller med Elin.

Problem och lösningar

Vi vill med det här meddelandet inskärpa vikten av att studenters personuppgifter hanteras i enlighet med EU:s dataskyddsförordning GDPR.

Det händer att studenter riktar klagomål mot fakulteten p.g.a. att deras personuppgifter skickas ut per mail eller på lärplattform av lärare i samband med att resultat på examinerande moment meddelas. Viktigt att komma ihåg i det sammanhanget är att även maskerade personnummer, där t.ex. födelsedatum är synligt, räknas som personuppgift. Det räcker då med att någon känner till en annan students födelsedag för att studenten ska kunna identifieras.

Om ett sådant utskick görs, d.v.s. där flera personer kan se varandras personuppgifter, klassas det som en personuppgiftsincident och behöver anmälas till Integritetsskyddsmyndigheten, IMY.

Detta problem verkar i synnerhet uppkomma när delresultat på en kurs ska meddelas studenterna. Då är det kanske inte självklart att rapportera in/kungöra resultaten på sedvanligt, säkert sätt i Ladok. Men det finns sätt att lösa problemet på. Några exempel på lösningar är:

• Skicka ut individuella mail till studenterna.
• Skapa, eller be studenterna skapa, separata identifieringskoder som kan gälla under en hel kurs och som används i resultatlistor. Ett enkelt sätt att be studenterna om identifieringskod är att göra ett särskilt icke-bedömt quiz i Canvas, exempelvis i samband med kursens upprop.
• Skapa uppgifter i Canvas som används för återrapportering av resultat. Om det underlättar i administrationen kan sedan resultat importeras till omdömesboken med hjälp av CSV-filer.
• Nyttja möjligheten till Resultatnoteringar i Ladok. Dessa kan exempelvis användas för att, i samband med den slutliga rapporteringen i Ladok, meddela och bokföra resultat eller anteckningar på enskilda moment som bidrar till prestationen inom en kursmodul.

Communicating course results

It is of utmost importance that we review our routines for how we communicate course results to students. It is the responsibility of each course teacher to ensure that the guidelines below are followed. TLTH and the study councils have been tasked with reporting back to LGGU if we break the rules. 

Note that no result lists in any form (dugga, extra points etc.) may be shared in a group, i.e. not even on a closed forum like Canvas.

If, against the odds, a mistake should occur, make sure to report it to LTH yourself – beatrice [dot] nordlof [at] lth [dot] lu [dot] se (beatrice[dot]nordlof[at]lth[dot]lu[dot]se) – directly at the event instead of waiting for the Union's information at a CEQ meeting.

Think about:

Do you need to publish a result list at group level? If YES - the only option to publish the result list at group level is if it contains anonymous codes. Masked social security numbers are not allowed.

How can you best communicate results to everyone? One-to-one communication is the only thing allowed (Canvas/mail/Ladok). There are several different ways to do this, see examples below.

Problems and solutions

With this message, we want to emphasize the importance of handling students' personal data in accordance with the EU's General Data Protection Regulation (GDPR).

It happens that students file complaints against the faculty due to their personal data being sent out by email or on a learning platform by teachers in connection with the announcement of results for examination elements. It is important to remember in this context that even masked personal data numbers, where e.g. date of birth is visible, are considered personal data. It is then sufficient for someone to know another student's birthday for the student to be identified.

If such a mailing is made, i.e. where several people can see each other's personal data, it is classified as a personal data incident and needs to be reported to the Swedish Data Protection Authority, IMY.

This problem seems to arise in particular when partial results for a course are to be announced to the students. Then it may not be obvious to report/announce the results in the usual, secure way in Ladok. But there are ways to solve the problem. Some examples of solutions are:

• Send out individual emails to students.
• Create, or ask students to create, separate identification codes that can be valid for an entire course and that are used in result lists. An easy way to ask students for an identification code is to make a special non-graded quiz in Canvas, for example in connection with the course announcement.
• Create tasks in Canvas that are used for reporting results. If it makes administration easier, results can then be imported into the gradebook using CSV files.
• Use the option of Result Notes in Ladok. These can, for example, be used to announce and record results or notes on individual elements that contribute to the performance within a course module, in connection with the final reporting in Ladok.
